Functions and Responsibilities
- Arranging and monitoring the progress of vessel vetting inspections from initial request to final close out and approval, including communications to the vessel, oil majors, vessel agents and relevant internal departments
- Attend Marine Department meetings, record minutes and distribute as required.
- Assist with updating, checking and maintaining the OCIMF Vessel Particulars Questionnaires (VPQ), updating internal records, customer and other Marine databases (SIRE, Q88, SIS3, CDI) as appropriate.
- Monitoring information flow from the fleet to the department to ensure all necessary information updates are received.
- Monitoring incoming mail from ships and correct distribution within office
- Monitor and record acknowledgements from the fleet.
- Assist with production of required marine department statistics.
- Assist with the documentation required for Management Reviews.
- To maintain and update all Fleet Notices, Circulars in the DANAOS on monthly basis.
- General administration work as required.
- Filing of Marine related weekly and monthly reports and documentation as received from the vessels/various other parties – moving to electronic filing and DANAOS.
- To ensure compliance with voyage instruction and to guide vessel master in accordance to the governing CP.
- Liaise with purchasers, vessel Superintendent and logistical service providers on planning for loading / unloading / transshipment of stores and spares.
- Monitor and review actual fuel consumption of vessels against budgeted consumption to ensure cost effectiveness.
- Monitoring vessel’s movement and performance and report to related parties.
- In any dispute against counterparty such as cargo damage or shortage, lay-time, underperformance and so on, to communicate for settlement based on charter party
- Clerical work such as filing shipping documents, entering voyage data into business applications.
- Assist with compilation of Insurance Claim documentation.
- Coordination with Master / Charterers regarding unplanned stoppages / repairs. Including follow up for OFF/ON Hire reports and instructions to master’s regarding Vessel side reports (to external parties) (Under guidance from Technical Supt)
- Monitor and support all vessels on operational issues (Loading / discharging / tank cleaning / grade change) (Under guidance from Marine Supt)
- Assist with post fixture activities as required (Cargo documentation (BL’s / LOI’s, Cargo quantity issues, Additional Insurance requirements (AWRP / KnR) (Under guidance from Marine Supt as required)
- Bunker ROB / Requirements of the vessel. Including notification to charterers (if required) and Intake quantity + segregation onboard. (Under guidance from Tech Supt and advise from Master as required)
- Agency appointment (as required) on owners’ behalf.
- To monitor the speed & consumption of all vessels to comply with respective Charter party requirements.
- Collect Customer Feedback.
Job Requirements:
- Diploma holder in related field/discipline
- Self-motivated individual with a minimum 3 years experience in marine industries is a MUST
- Possess initiative and able to multi-task
- Tech Savvy, adaptable to working with ERP
